Introduction

Sophie’s Gasthaus is a family run boutique hotel and art gallery in New Braunfels, Texas, operating eight rooms including a carriage house and suite. The property sought to modernize guest communication and automate access without sacrificing its high touch hospitality experience.

Before implementing Operto ONE, Sophie’s Gasthaus relied on phone calls, email threads, and a paid after-hours answering service to manage guest communication and check-in logistics. With no automation in place, every booking and arrival required manual coordination.

As a result, the team could not reliably support last-minute or late-night bookings. Without a guarantee that new reservations would be seen and access details delivered in time, Sophie’s often stopped accepting bookings outside a narrow window. This constrained revenue, limited flexibility for guests, and left little time for marketing or growth.

“Would we have had time to take on those projects without Operto ONE? No, absolutely not.”

Director of Hospitality

01. Challenges

At Sophie’s Gasthaus, guest communication did not stop at check-in.

Questions arrived before booking, during arrival, late at night, and throughout the stay. Guests asked about access, amenities, parking, local recommendations, and special requests. Messages came through multiple channels and often required immediate answers to avoid frustration.

With no front desk and a very small team, every message required human attention. There was no support in place to handle routine questions or coordinate requests. Staying responsive meant being constantly available, even outside normal working hours.

As volume increased, consistency became harder to maintain. Response times varied depending on time of day, and after-hours messages either interrupted the team or waited until morning. The operational strain limited the ability to focus on guest experience, marketing, or growth.

02. Solution

Agentic Front-of-House Support with Operto ONE

Sophie’s implemented Operto ONE to introduce agentic front-of-house support, designed to handle the growing volume and complexity of guest communication without adding staff or sacrificing service quality.

Instead of relying entirely on manual responses, Sophie’s now operates with a coordinated Front of House AI team working in a shared workspace under human supervision.

Routine guest questions are answered automatically using the property’s own policies, amenities, and stay information. Local recommendations are provided without tying up the team. Guest context from past stays and ongoing conversations is surfaced automatically, so when the team does step in, they have the full picture immediately.

Built-in supervision ensures responses meet the property’s standards. When confidence is high, messages are handled automatically. When nuance or judgment is required, messages are escalated to the team with clear context.

This shifted guest communication from a reactive, manual process to a system that works continuously in the background, keeping guests informed and supported at every stage of their stay.

03. Implementation

Operto ONE was deployed as the front-of-house communication layer, with a gradual and supervised approach to AI support.

Sophie’s began by using AI to draft responses and support routine guest communication, while the team remained fully involved. As confidence grew, automation was expanded carefully, with clear rules and oversight in place to ensure responses aligned with the property’s standards.

Today, Operto ONE supports guest communication through a coordinated front-of-house system:

  • All guest messages across channels flow into one unified inbox
  • AI assists with repetitive questions around check-in, amenities, policies, and stay details
  • Local concierge-style recommendations are delivered automatically when appropriate
  • Guest history and ongoing conversation context are surfaced for the team in real time
  • Responses are reviewed based on confidence thresholds and escalated to staff when needed
  • Staff can step in at any moment with full visibility and control

Operto also automates the property’s access systems, allowing arrival instructions and door codes to be generated and delivered automatically through the same communication flow.

The system communicates in the guest’s preferred language and remains active after hours, ensuring consistent, timely responses regardless of time, shift, or staffing level to monitor messages around the clock, and guests are not left waiting until morning.

Guests are engaging more, not less.
With messaging as the primary channel, guests reach out easily throughout their stay with questions, observations, and curiosity about the property. Conversations extend beyond logistics to include artwork, design details, and features guests discover on-site.When the team steps in, they do so with full context. Past stays, preferences, and open requests are summarized automatically, allowing conversations to start informed and personal without adding work for staff.

This has been especially notable across older guest demographics, who have quickly adopted texting as a preferred way to communicate and receive support.

Operational Capacity for Growth
By removing constant communication pressure, the team reclaimed time without sacrificing responsiveness. Guest engagement increased while operational effort decreased. With front-of-house communication running continuously in the background, Sophie’s is able to shift focus toward marketing, occupancy strategy, and expansion. The property is now launching two additional locations with confidence that guest communication can scale alongside growth.

Fewer Interruptions for Staff
Repetitive questions no longer pull the team away from higher-value guest interactions. The front-of-house workload feels calmer and more manageable.

Consistency Across Every Interaction
Answers are accurate and aligned with property standards, regardless of who is on shift or when the message arrives. This eliminated variability that previously came with manual responses.

“We get bookings at 10:00 p.m. The code is automatically generated, the message is automatically sent, and they’re in the house. I’ve been sleeping for two hours and I have no idea this is happening. Game changer.”
