Introduction

Wharfside Village Hotel is a 34-room boutique property located in downtown Cruz Bay, St. John, in the U.S. Virgin Islands. Entering its fifth season of operation, Wharfside is known for a high-touch guest experience. Staff walk guests to their rooms, are available 24/7, and have even been known to sit down for a beer with visitors. TripAdvisor reviews regularly call out individual team members by name. That level of personal connection isn’t an add-on at Wharfside Village, it’s the entire brand.

 01. Challenge 

Manual Guest Texting Could Not Scale

Before Operto One, guest messaging was handled entirely through a cell phone. Every guest was manually entered as a contact, coded by their dates, phone number, and room number. At 1:00 AM, when a message came in, Dawn could glance at the screen and know whether the guest was in-house or arriving in three weeks, and prioritize accordingly.

The system worked because Dawn and her team made it work. They personally texted every arriving guest, tracked flights, and timed her messages to land the moment passengers stepped off the plane. But as Wharfside Village grew, three operational issues became impossible to ignore.

1-Time Cost During Peak Arrivals

On days with 14 or more arrivals, Dawn had to stop what she was doing throughout the day to send personalized texts. The constant start-stop created interruptions at the exact moments the team needed to stay focused.

2-Inconsistent Communication Style

Staff welcomed and guided guests in slightly different ways. Adam says welcome differently than Dawn says welcome. Without a unified voice, maintaining one clear brand experience became harder.

3-Limited Team Visibility

Guest conversations lived on one phone. If Dawn messaged a guest, other staff had no visibility unless the information was verbally relayed. Context was often lost, and it led to finger-pointing: “Did you text the lady coming into 220? Did she make the boat?”

Like many hotel teams, Wharfside Village approached change carefully. Adoption was not instant, and the hotel intentionally planned implementation around operational risk.

1-Started in the Slow Season

The team launched messaging during summer when occupancy was lower. This created space to work through setup, learn the workflow, and resolve early quirks without guest impact.

2-One Clear Internal Decision

Rather than letting the team toggle between old and new workflows, Dawn set a firm standard and removed the fallback option. “I tape it down. You may not use the cell phone.” Once the team committed fully, adoption accelerated.

3-Simple Training, Fast Comfort

Because the interface felt similar to texting, staff learned quickly. Most resistance came from habit rather than complexity. Within weeks, the team shifted from “learning it” to relying on it.

This is awesome.”
